When the American Academy of Ophthalmology descended on Orlando for its 2025 annual meeting, the city’s shuttles became mobile billboards for leading pharmaceutical sponsors. Working on behalf of Kushner & Associates, Ballyhoo coordinated the installation of forty 2’x39’ ribbons across six different bus companies in a single day.
Each yard carried unique sponsor creative from four pharmaceutical companies: ALCON, Genentech, Astellas, and Regeneron. Matching every ribbon to its assigned fleet required accurate labeling, real-time coordination, and communication between dispatch, installers, and event staff.

Results & Outcome
Thursday, October 16, became a marathon install day. Our install team started in the early afternoon, rotating between six yards spread across greater Orlando, starting early at Fabulous Tours and finishing late at MCA.
By the end of the night, every sponsor had a presence on the streets of Orlando, ready for the conference’s opening morning.
When the event concluded on October 20, Ballyhoo’s team was back at the Orange County Convention Center to remove all forty ribbons within hours of the last shuttle run. The project showcased the value of clear communication, precise labeling, and experience coordinating multi-vendor installs on tight timelines. Overlapping with simultaneous projects in Anaheim and Austin, it became important to ensure everyone, from our installers to our client and transportation partners in Orlando, were all on the same page from the beginning.
